How to keep direct-registration advices, broker statements, and transfer notices together so ownership and movement history is easier to reconstruct from documents you already have.

Why DRS and broker records diverge

Direct Registration System (DRS) positions may be reflected on issuer or transfer-agent records while brokerage statements show street-name holdings, pending transfers, or residual lots. When shares move between a broker and a transfer agent—or between brokers—documents from each side often capture only part of the story.

Investment Vault is not a transfer agent, not Computershare, and not a live registered-shareholder portal. It organizes documents you import; it does not execute DRS requests or replace firm portals.

Documents worth keeping in one archive

Useful materials often include brokerage statements covering the periods before and after a movement, trade confirmations if relevant, DRS advice or registration notices you receive, transfer initiation and completion correspondence, fee invoices, and any residual-position notices. Keep firm names, dates, and share quantities visible in filenames or a simple index.

If both a broker and a transfer agent issued documents for the same period, retain both. Side-by-side review is how many investors notice timing gaps or incomplete postings.

A document-first review workflow

Inventory files first, then place them in chronological order, then note gaps. Only after that should you attempt to reconcile quantities across firms. Extracted data from PDFs can misread tables—confirm candidates against the source page before relying on them.
